Privacy Policy

Last updated: January 2024

Straight Talk: We're not lawyers, but we've tried to make this as clear as possible. If something seems confusing, just shoot us an email and we'll explain it better.

Who We Are & Why This Matters

Look, we get it - nobody really reads privacy policies. But since you're here, we'll keep it real. Titan Forge Quintal is an architectural studio based in Vancouver, and we take your privacy seriously because, honestly, we'd want the same if roles were reversed.

We're bound by Canadian privacy laws (specifically PIPEDA if you wanna look it up), and we actually follow them. This policy explains what info we collect when you reach out about a project, visit our site, or work with us.

Our Office: 1250 Homer Street, Suite 402, Vancouver, BC V6B 1C5

What Information Do We Actually Collect?

We're not running some data mining operation here. We only collect what we need to do our job properly:

When You Contact Us
  • Your name and how you prefer to be called
  • Email and phone number
  • Project location and basic details
  • Budget range (helps us serve you better)
  • Any attachments you send - sketches, site photos, etc.
Website Browsing Data
  • IP address (it's automatic, not spying)
  • Browser type and device info
  • Which pages you visit and how long
  • Where you came from (referral source)
  • General location (city-level, not your address)
For Active Projects

Once we're working together, we'll need more detailed stuff - property documents, site surveys, design preferences, contractor info, and all the technical details that go into creating your space. We'll always let you know what we need and why.

How We Actually Use Your Information

We're not selling your data to marketers or doing anything sketchy. Here's the deal:

Getting back to your inquiries, sending proposals, sharing design drafts, coordinating with contractors, and basically making sure your project actually happens. Pretty straightforward stuff.

We look at what pages people visit most, what questions come up frequently, and where folks might be getting confused. Helps us make the website less annoying and our services more useful.

Contracts, invoices, permits, building code compliance, insurance requirements - all the paperwork that comes with construction projects. We keep records because we legally have to and because it protects both of us.

We love showing off our work, but we'll always ask before putting your project in our portfolio or on social media. If you say no, that's totally cool - we get it, not everyone wants their home plastered on Instagram.

Who Gets Access to Your Info?

We don't just hand out your information like candy. Here's who might see it:

Our Team

Obviously our architects, designers, and admin staff need access to do their jobs. Everyone on the team signs confidentiality agreements though.

Project Partners

Contractors, structural engineers, surveyors, and other pros we work with on your project. They only get what's relevant to their part of the work.

Service Providers

Our email service, cloud storage, website hosting, and accounting software. We pick companies with solid security practices and make sure they can't use your data for their own purposes.

Legal Requirements

If we're legally required to share info (court order, building permit process, etc.), we will - but we'll let you know unless we're prohibited from doing so.

What We DON'T Do: We don't sell your info to third parties, rent out our contact lists, or share your details with random marketing companies. That's just not our thing.

Cookies & Tracking Technology

Yeah, we use cookies - not the chocolate chip kind unfortunately. Here's what's going on behind the scenes:

1
Essential Cookies

These make the website actually work - remember your form inputs, keep you logged in if we add that feature, basic stuff. You can't really turn these off without breaking things.

2
Analytics Cookies

We use Google Analytics to see how people use the site - which pages are popular, where folks drop off, that kind of thing. It's anonymized data, not personal stalking. You can opt out with browser settings or extensions if you want.

3
Performance Cookies

Help us figure out if the site's loading slow, if images aren't displaying right, technical troubleshooting stuff. Makes for a better experience overall.

Managing Cookies: Most browsers let you control cookies through settings. Just know that blocking everything might make parts of the site wonky. Check your browser's help section for instructions.

Your Rights (Yes, You Have Them)

Under Canadian privacy laws, you've got some solid rights when it comes to your personal info:

Access Your Data

Want to know what we've got on file about you? Just ask. We'll send you a copy within a reasonable timeframe.

Correct Mistakes

If we've got something wrong - name spelled incorrectly, old address, whatever - let us know and we'll fix it.

Delete Your Info

Not working with us anymore? Want your stuff gone? We'll delete it, though we might need to keep some records for legal/tax reasons.

Withdraw Consent

Changed your mind about something you agreed to? That's fine. It might affect what services we can provide, but you're in control.

Object to Processing

Don't want us using your info for a specific purpose? Let us know. We'll stop unless we've got a legit reason to continue.

File a Complaint

Think we screwed up? You can contact the Privacy Commissioner of Canada. We'd prefer you talk to us first though so we can fix it.

To Exercise Your Rights: Email us at info@titanforgequintal.info or call (604) 555-0847. We'll get back to you within a couple days, and we'll need to verify your identity first (just to make sure someone's not pretending to be you).

How We Keep Your Data Safe

We're not cybersecurity experts, but we take reasonable precautions to protect your information:

Secure Storage: Files are stored on encrypted servers with reputable cloud providers (not just sitting on someone's laptop). Physical documents are locked up in our office.

Access Controls: Only people who actually need access get it. Everyone uses strong passwords (yes, we enforce that), and we use two-factor authentication where possible.

Encrypted Communication: Our website uses SSL/TLS encryption (that's the little lock icon in your browser). Emails with sensitive attachments get encrypted too.

Regular Backups: We back up data regularly so nothing gets lost if equipment fails. Backups are encrypted and stored securely too.

Software Updates: We keep our systems updated with the latest security patches. Boring but necessary.

Real Talk About Security

No system is 100% secure - anyone who says otherwise is lying. We do our best with industry-standard practices, but if there's ever a data breach that affects you, we'll let you know right away and work with you to minimize any damage.

Updates to This Policy

Privacy laws change, our practices evolve, and we might need to update this policy from time to time. When we do:

  • We'll update the "Last Updated" date at the top of this page
  • For minor changes (typos, clarifications), we'll just post the update
  • For major changes that affect how we use your data, we'll email you if we have your contact info
  • You can always check back here to see the current version
